Working with a virtual assistant requires trust, delegation, and a willingness to relinquish control of certain things. There are quite a few tools at your disposal to use when working with a virtual assistant, and I’m going to give you my top six. I use these tools daily to interact with my clients and it’s made all of our lives much easier!

1. Asana

This is an awesome web-based task management application that keeps everything organized, and it’s free! You can create and organize tasks, keep track of due dates, assignments, and it works with Dropbox and Google docs to share files. There’s a mobile app available, too.

2. Dropbox

This is file sharing at its finest! Dropbox allows you to invite others to share files and folders, eliminating the need to attach files to email. A free plan is available, but I strongly recommend upgrading to the premium service. You get 1 TB of storage for only $9.99 per month. A mobile app is also available.

3. Skype

Keep everyone at your fingertips for instant messaging and phone calls. Skype is a free VoIP program that allows you to do just that. It’s a great tool to use for those quick notifications that don’t require an email or creating a task in Asana.

4. LastPass

Your virtual assistant is going to need your login credentials for certain tasks you assign, and the safest way to share that information is with LastPass. Your virtual assistant doesn’t actually see your password, but he/she will still be able to use it. How’s that for security?

5. Google Apps

I love Google Apps because everything is shared. Google docs and calendar are included and email so super easy. If your virtual assistant will be interactive with clients as a representative of your organization, it’s best if he/she has a company email address. Google Apps makes it easy.

6. Freshbooks

A web-based accounting application that allows you to add sub-contractors (virtual assistants) and keep track of their hours. Your virtual assistant will use this to track time spent on tasks/projects for you and to send you invoices for payment.

I use these tools with all of my clients and it’s made things so much easier. It’s important to really keep things in check so that nothing falls through the cracks, and these tools help you do just that.
